• Participant name, date of birth, gender, and heritage/ethnic background (required by Trinity College London for moderation if doing Arts Award)

• Postal address (for sending certificates and any materials)

• Information about access needs or adjustments

• Consent preferences for photography and use of creative work

• For online classes: recordings of live sessions if required (with consent) and any work submitted digitally

• Deliver your DIY Arts Award pack and arrange planning meetings

• Enrol you in online classes and send joining details

• Post your certificate or send class materials once your programme is complete

• Contact you with important updates about your booking, award, or class

We will not use your details for unrelated marketing unless you have explicitly agreed to receive it.

• Trinity College London – for moderation and issuing Arts Award certificates

• Delivery services – to post your certificate and/or materials

• Our secure online tools (e.g., Google Drive, Zoom) – for delivering resources and live sessions

• All personal data is stored securely on password-protected devices and secure cloud systems.

• We keep your data only as long as necessary — usually up to two years after your award or last class is completed — after which it is securely deleted.

• Candidate details submitted to Trinity College London are kept according to their own retention policy.

• Ask us to correct any errors

• Request deletion of your personal data (unless required for legal, moderation, or safeguarding purposes)

• We will only use photographs, recordings, or examples of participants’ work for publicity if you have given consent on the booking form.

• You can withdraw image or recording consent at any time by emailing us.
